Greek Society Annual General Meeting

This serves as an announcement for the 2025 SUGS’ Annual General Meeting.
If you are interested in joining the best committee on campus, make sure to read the below details. We are thrilled with SUGS achievements and events in 2025 and are sad that we will be saying goodbye to some committee members who have been involved for a very long time, however NOW IS YOUR CHANCE to join SUGS and be part of the amazing work that our committees do to support and foster Hellenism in Australia!

* IMPORTANT INFORMATION – PLEASE READ *
1. You MUST be a current MEMBER in order to vote. If you are not already registered, please sign up through this link (https://usu.edu.au/clubs/greek-society/) to become a member. Please note that membership lists will be locked SIX days prior to the AGM (i.e. 7 pm, Thursday the 6th of March).
2. You MUST REGISTER in order to vote (see 'Greek Society' page on USU website).
3. If you are NOT a SUGS member, you CAN register as a spectator, however, you CANNOT vote.
4. You MUST ATTEND the meeting in order to VOTE or RUN for a position.
In order to preserve the motivation behind Article 9.10, the prohibition of proxy voting, the outgoing Committee will be enforcing the requirement that only members attending the AGM in person will be eligible to cast their votes.
5. In the event that you intend to run for the position of President or Vice President, you must have served on the SUGS committee for at least 12 months, as stipulated in our Constitution.
9.13. In order for a candidate to be eligible for the executive roles of President and Vice President, the candidate must have served at least 12 months, or one full term, as a member anywhere else on the executive committee. If only one nominated candidate fulfils this criterion, they shall be elected unopposed, subject to a vote of confidence by ordinary members present at the time of election. In the event that no member of a previous executive wishes to run, nominations for President and Vice President shall be available to candidates who do not fulfil the criterion in this new clause.
6. Registration CLOSES when the AGM is called. However, membership lists will be locked six days prior in the interest of equity.
As outlined in Article 9.4, nominations will open 14 days before elections are to be held. Please note that the nomination format of previous years, where nominations are taken at the AGM has been altered and we request that all members interested in running for election should indicate their own intention to do so during the registration period for the AGM. You cannot nominate others, you can only nominate YOURSELF.

7. SUGS will also propose six constitutional changes in this meeting in which are mandatory C&S amendments by the University of Sydney Union (USU):
- Section 3 – Membership; 3.1 ii)
- All holders of a current Access Card of The University of Sydney Union other than those who qualify for Ordinary Membership shall be eligible for Associate Membership of the Society. Associate Members are not eligible to hold Executive positions, vote in elections or vote at meetings of the Society.

- The Society shall hold an Ordinary Meeting at least once every 3 weeks during semester (teaching period, Weeks 1-13).

- ‘A General Meeting of the Society has the same powers as an Ordinary Meeting, and may also carry the following motions on notice relating to the affairs of the Society by a two-thirds majority vote of those members present and voting:
i) Granting Honorary Membership
ii) Filling vacancies on the Executive
iii) Repealing motions and the effect of motions carried at an Ordinary Meeting
iv) Amending the Constitution
v) Dismissing Executive Members for reasons other than that in 4.3 of the Constitution, provided that the Executive Member is given reasonable right of reply
vi) Dissolving the Society.
*‘A General Meeting of the Society has the same powers as an Ordinary Meeting, and may also carry the following motions on notice relating to the affairs of the Society by a two-thirds majority vote of those members present and voting:

v) Dismissing Executive Members for failure to adequately perform their executive duties, provided that the Executive Member is given reasonable right of reply

- The Annual General Meeting shall be held between 9am and 9pm at a place on a campus of The University of Sydney during semester (teaching period, Weeks 1-13). The Annual General Meeting shall be chaired by the President or an Executive Member not standing for election to any position.

*Society meetings may not be held during the University of Sydney closure period surrounding the Christmas and New Year Public Holidays, and notice must be called outside of this period.
