AGENDA OF ANNUAL GENERAL MEETING OF Korean Medical & Health Society

The following amendments to the constitution are proposed:

4.1

The Society shall have an Executive consisting of:

i) A President

ii) Up to 2 Vice President(s)

iii) A Secretary

iv) A Treasurer

v) A Media Director

vi) An Internal Relations Director

vii) An External Relations Director

The Society shall have an Executive consisting of:

i) A President

ii) 2 Vice Presidents

iii) A Secretary

iv) A Treasurer

v) An Undergraduate Director

vi) A Postgraduate Director

vii) A Public Relations Director

viii) A Marketing Director

ix) An Operations Director

x) 2 General Executives

We would like to expand the executive team and introduce more members

5.5

The Media Director shall:

i) Create designs for promotions of events and activities.

ii) Manage social media platforms (including websites) and maintain online presence.

iii) Post designs on social media pages regularly to disseminate information about events and activities.

The Undergraduate Director shall:

i) Co-lead the undergraduate division alongside the respective Vice-President.

ii) Assist in the planning and promotion of undergrad-specific events and initiatives.

iii) Work closely with the respective Vice-President to engage with undergrad members and ensure representation.

iv) Collaborate with other divisions to engage undergrad members in the society.

5.6

The Internal Relations Director shall:

i) Focus on fostering a positive and cohesive community within the Society.

ii) Organize events and activities that promote member engagement, professional development, and well-being and liaising with the venue to coordinate the events.

iii) Address member concerns and feedback to improve the Society's operations and culture.

iv) Work closely with the Media Director to promote internal events and updates.

v) Organize mentorship programs and peer support groups.

The Postgraduate Director shall:

i) Co-lead the postgraduate division alongside the respective Vice-President.

ii) Assist in the planning and promotion of postgrad-specific events.

iii) Work closely with the respective Vice-President to engage with undergrad members and ensure representation.

iv) Collaborate with other divisions to engage postgrad members in the society.

5.7 The External Relations Director shall:

i) Build and maintain relationships with external organizations, sponsors, and partners.

ii) Represent the Society at external meetings, conferences, and events.

iii) Develop and implement strategies for funding and sponsorship acquisition, and coordinate with external partners for joint events and initiatives.

iv) Work closely with the Media Director to promote external collaborations and achievements.

v) Ensure that all events that are designed will engage and cater to all students from different stages of their education.

The Public Relations Director shall:

i) Lead public relations (PR) efforts, overseeing event management, promotions and external communications.

ii) Ensure external communications align with the society’s branding and mission.

iii) Work closely with the Core Committee and Marketing Division to create strategies for member engagement and event visibility.

iv) Oversee the PR division’s activities, ensuring the team is responsive to the society's needs.

v) Manage relationships with sponsors, partners, and media outlets.

The Marketing Director shall:

i) Lead the marketing efforts, setting content strategy and overseeing the marketing team.

ii) Ensure consistency in branding and messaging across all channels.

iii) Manage and oversee the production of society’s merchandise and products.

iv) Work with the Core Committee and PR Division to align marketing initiatives with the society’s overall objectives.

v) Work with the PR director to develop clear marketing plans and strategies.

The Operations Director shall:

i) Manage day-to-day logistics, society’s website, member database, and operational support (including event tech support) for the society.

ii) Ensure smooth execution of all events, coordinating logistics, resources and managing venues.

iii) Work with all divisions to ensure effective communication and coordination.

iv) Manage the society’s logistical infrastructure and storage.

v) Update and maintain standard operating procedures (SOPs) as needed.

vi) Ensure digital infrastructure and communication platforms are up-to-date and secure.

The General Executives shall:

i) Dedicate their service to supporting the divisions in its endeavors based on operational needs

ii) Play an active role in helping to coordinate society events

iii) Assist in managing internal logistics and help ensure smooth execution of events.

Appointment of Returning Officer

Nominations will be considered and voted on for the following positions:

● A President

● 2 Vice Presidents

● A Secretary

● A Treasurer

● An Undergraduate Director

● A Postgraduate Director

● A Public Relations Director

● A Marketing Director

● An Operations Director

● 2 General Executives

‘Nominations will be taken from the floor', and voting shall be by secret ballot and

shall be Single Transferable Vote.
