Submitting your meeting notice
Meetings can be called by President, Secretary or Vice-President, or by the Secretary forthwith upon receipt of the written application of at least twenty percent (20%) of the Ordinary Members of the Society.
Notice should consist of an Agenda stating the time and place of the meeting. If there are elections to be held at the meeting, the notice should state that only Ordinary Members, and Honorary Members who would otherwise be eligible for Ordinary Membership, shall be eligible to be candidates for election or to vote.
You must provide:
- 3 days notice for an Ordinary Meeting
- 7 days notice for a General Meeting
- 14 days notice for a General Meeting in which elections or constitutional amendments are to occur
- 14 days notice for an Annual General Meeting
How do I submit notice?
1. A bar appears on your club’s profile (via the executive portal on the USU website), indicating it is time to hold your AGM
2. Select it to create your AGM Meeting Notice
3. Copy and paste the Agenda template to the description of the event.
4. Add all positions that are open for re-election (this will automatically be completed with your current executive positions, with an option to edit)
5. Give at least 14 days notice so the Clubs Team can contact you if need be.
6. Give notice to your members via your club’s social media and /or newsletter.
7. Once the Clubs Team has approved your AGM notice, your membership will be sent an email notification of your AGM via our automated system, giving them the opportunity to register interest.
