Meeting Notice

You must provide adequate notice to the USU and your membership when your club or society intends to hold a meeting.

Meetings can be called by President, Secretary or Vice-President, or by the Secretary forthwith upon receipt of the written application of at least twenty percent (20%) of the Ordinary Members of the Society.


Notice should consist of an Agenda stating the time and place of the meeting. If there are elections to be held at the meeting, the notice should state that only Ordinary Members, and Honorary Members who would otherwise be eligible for Ordinary Membership, shall be eligible to be candidates for election or to vote.


You are required to give notice by submitting an Agenda to the USU website. 

You must provide:

  • 3 days notice for an Ordinary Meeting
  • 7 days notice for a General Meeting
  • 14 days notice for a General Meeting in which elections or constitutional amendments are to occur
  • 14 days notice for an Annual General Meeting


You will receive written confirmation from the Clubs Team when your meeting notice is approved.
